Upgrading

If you are going to change your system, there are three key words for you to bear in mind on the way to a successful implementation ... preparation, preparation and ... preparation.

Remember, the most important investment you will make when changing your system is time.   Don’t underestimate how significant an investment this will be for you ... and your colleagues.  Change always seems to happen at a time when you are at your busyiest, but don’t scrimp, the time you invest will pay massive dividends in the long run.

  • Preparation: Make sure you have a good system to start with.  Even if you are doing things manually, make sure your processes are solid.  If you try to computerise a poor system, you simply end up a computerised poor system.

  • Preparation: The more time you spend on getting your data right, the better the system will perform for you.  Your standing data has to be spot on and the more you can include from day one, the better for you.  Standing data covers customers, suppliers and stock headers and its a perfect opportunity for a good clear out.  Just be aware that this takes more time than you think.

  • Preparation: Involve your staff, run the workshops on offer and get their input.  They’ll have good ideas and the more we can get them involved, the quicker the system will bed down and the more benefit everybody will get out of it.  Their time will be well spent.

Finally, when we ask you for all of your data, we mean exactly that.  Give us everything you’ve got and let us decide what’s relevent.  On more than one occasion, the imported stock valuation has differered from the closing TB because a customer has thought that what’s in an external warehouse has been irrelevant.  It’s not.
